We are seeking an Executive Assistant, to the CEO, CSO and CBO to work within the Operations Team on a 12-month fixed term contract covering maternity leave. You will be part of a dynamic and innovative environment and will become an integral part of our vision to address patients’ unmet needs while building Britain’s Biggest Biotech. You will be able to work in modern facilities for optimum collaboration alongside a focused and caring team.

You will already possess experience in complex diary management and being accountable for ensuring all office processes run smoothly and efficiently. You will become a central component to our executive team and integral to the efficient functioning of the company.

Essential Experience, Skills and Qualities

  • Experience in an Executive Assistant role within a fast-paced environment or equivalent (experience of working in a venture capital funded start up is preferable)
  • High proficiency with Microsoft Office
  • Good communication and personal skills – both verbal and written
  • Exceptional organisation skills, ability to prioritise and be calm under pressure  
  • Keen attention to detail and accuracy on data entry
  • Positive and can-do attitude, with a common-sense approach to problem solving and the ability to use own initiative
  • Reliable, dependable and ability to maintain strict confidentiality
  • Responsible and focused approach to independent and collaborative work, with the ability to prioritise and deliver high quality work to deadlines.
  • Innovative and ambitious mindset, with an inquisitive and agile approach to problem-solving and overcoming technical challenges; motivated to continuously learn and take on challenges.
  • Caring and inclusive; respectful and receptive to others’ diverse ideas, experience and perspectives, and enjoys working collaboratively with others as a team.

Role Responsibilities

  • Admin support for the CEO, CSO and CBO and ad hoc support for wider Executive and Management Team – including managing complex calendar invites, booking travel and accommodation as it arises
  • Working closely with Board Members and their PAs to assist with organising meetings
  • Processing expenses for CEO, CSO and CBO as well as managing own expenses and credit card, making purchases on behalf of the onsite team i.e. general supplies and lab equipment
  • Keeping stock of stationery and weekly groceries
  • Support with larger meetings, i.e. Scientific and Board meetings, including constant visits and travel
  • Help with organising company and social events
  • Assisting with onboarding for new recruits, working with HR
  • Share information openly and work collaboratively with other departments to help advance different projects and achieve company goals.
