We are looking for a highly organised, proactive and reliable individual to join our team as Executive Assistant/Office Manager and be an integral part of the company. We are looking for someone that is a self-starter and thrives within a dynamic working environment.

WHAT YOU WOULD WORK ON

  • Providing administrative support to the team including diary management, answering and screening telephone calls, facilitating meetings and taking minutes, maintaining filing systems and other relevant tasks as necessary.
  • Managing recruitment processes, including communicating with candidates and coordinating interviews.
  • Owning the welcoming of new hires, making sure that they are properly onboarded to the team and feel confident and prepared for their new role.
  • Being the person at the heart of the team, supporting with projects, proposals and commitments, and coordinating everything from travel arrangements to fun activities and socials.
  • Day-to-day creative problem-solving.
  • Handling basic bookkeeping tasks, including maintaining finance systems, accounting records, expenses and day-to-day invoice payments.
  • Review and help putting miscellaneous reports, documents and presentations, including board materials.
  • Sourcing and managing suppliers, maintaining good relationships and negotiating deals with contractors when required.
  • Embody Nucleome mission and build great relationships both inside and outside our team.

WHAT WE ARE LOOKING FOR

Experience:

  • A position-relevant experience.
  • An excellent verbal and written skills, with excellent spelling and proofreading skills.
  • Able to effectively interact and communicate with customers, senior-level management and corporate contacts.
  • Exceptional time management and organisation skills; as well as an ability to prioritise tasks and balance multiple priorities/projects with excellent attention to detail.
  • Enjoy to work as part of the team, whilst also working effectively with autonomy without reliance on instruction.
  • Self-starter, proactive, ‘one-step-ahead’ mindset.
  • Genuinely care about your team members and the work we do.
  • Demonstrated ability to work effectively in a rapidly changing environment with exceptional decision-making and problem-solving skills.
  • Computer/tech-literate, including knowledge of, and working experience with Microsoft Outlook, Excel, PowerPoint and Word(and willingness to learn new software). Working knowledge of fund-raising data management system would be helpful.
